Why your business needs a support tool, even a small one
A shared email inbox works until it doesn't. What changes when every question is a conversation with its own status, history and place.
At first, support is an email inbox. You check it when you can, answer what you see and trust yourself to remember the rest. It works while there are few of you and few messages.
Then the symptoms show up: a user writing a second time because nobody answered, two people replying to the same email, a thread nobody knows was solved, or a customer explaining their problem from scratch because today's teammate isn't the one who helped them last week.
What a support tool does
It turns every question into a conversation with a status, a history and a person behind it. Instead of a list of emails, you have an inbox that tells you what still needs an answer.
In Helpeen, messages reach you from your website and your product:
- the chat you add to your site with one line of code,
- the contact form in your help center,
- your own app, which opens conversations through the API,
- and the public mailbox, a page of yours where anyone can leave you a written or voice message.
When you reply, the user gets an email notice. If they answer that email, their reply goes back into the same conversation, not into your personal inbox.
What you gain
You know what's pending. Every conversation is open, pending or closed, and the status changes by itself: it opens when the user writes, turns pending when you reply and reopens if they write again. Nothing to remember.

What Helpeen doesn't do, on purpose
Helpeen isn't an omnichannel switchboard. It doesn't collect WhatsApp messages, social media or calls: it focuses on what reaches you from your website and your product, and on email to carry the conversation on.
It also has no case assignment, canned replies or metrics dashboards. We left them out so the tool makes sense in five minutes instead of taking a week to configure. If your support team has fifty people, you probably need something else. If there are one, three or ten of you, you probably don't.
When it's worth it
Sooner than you think. The time to organise support isn't when messages are already slipping through, but while you can still choose how to do it calmly.
